How document review and approval works (Document Center)

SWC CRM TeamISO certification software specialistsUpdated July 4, 20263 min read

In SWC CRM, every document in a client’s Document Center carries a review status — pending, under review, approved, rejected, or revision required. Audit evidence updates automatically from your Audit Engine decisions, and the client sees the same status live in their portal.

What are the document review statuses?

Documents move through five statuses: pending, under review, approved, rejected, and revision required. The status makes it clear what still needs action, replacing ambiguous email threads.

How review and approval works

  1. Open the client’s Document Center and select a document.
  2. Set a status manually, or let the Audit Engine set it automatically from an evidence decision.
  3. Approved evidence flips the document to Approved; a rejection or change request updates it accordingly.
  4. The client sees the same status live in their portal.
  5. Use version history to compare and roll back revisions.

Frequently asked questions

Which documents update automatically?

Only audit evidence auto-syncs from Audit Engine decisions. General documents can still be reviewed manually.

Do clients see the document status?

Yes. The same review status shows live in the client portal, so both sides always see one source of truth.
